The Referral Intake Specialist serves as the first point of contact for new patient referrals and plays a key role in ensuring a seamless transition into infusion therapy services. This position is responsible for receiving, reviewing, and processing referrals from physicians and healthcare providers, verifying that all required documentation has been received, and coordinating with clinical, pharmacy, and reimbursement teams to facilitate timely patient care.

Key responsibilities include managing referral documentation, communicating with physician offices regarding missing information, entering accurate patient data into the electronic medical record, tracking referral status, maintaining compliance with HIPAA and company policies, and providing exceptional customer service to referral sources and patients. The Referral Intake Specialist works collaboratively with internal departments to support efficient workflows and ensure patients begin therapy as quickly as possible.

Qualifications

  • High school diploma or GED required; Associate’s degree in healthcare administration, business, or a related field preferred.
  • Minimum of 2 years of experience in a medical office, specialty pharmacy, infusion center, home health, or healthcare intake/referral setting preferred.
  • Knowledge of medical terminology and healthcare documentation.
  • Experience with insurance verification, prior authorizations, or referral processing is highly preferred.
  • Familiarity with electronic health records (EHR/EMR) and Microsoft Office applications.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent verbal and written communication skills with a professional and compassionate demeanor.
  • Exceptional attention to detail and accuracy in data entry and documentation.
  • Ability to work independently while collaborating effectively with physicians, clinical staff, pharmacy personnel, and reimbursement specialists.
  • Strong customer service skills with a commitment to providing an outstanding experience for patients and referral sources.
  • Knowledge of HIPAA regulations and patient confidentiality requirements.
  • Ability to thrive in a fast-paced, team-oriented healthcare environment.

Preferred Qualifications

  • Experience in specialty pharmacy, infusion therapy, or home infusion services.
  • Working knowledge of Medicare, Medicaid, and commercial insurance plans.
  • Experience using pharmacy management software or healthcare practice management systems.
  • Bilingual (English/Spanish) is a plus but not required.
